To give you a ballpark idea, here are some sample quotes for requests we’ve gotten from our customers:

Example #1:

The science teacher at Washington Township Schools is planning a field trip for her top 30 students to visit the Indiana State Museum in Indianapolis. She rents a charter bus that can accommodate 30 passengers plus additional chaperones, at a rate of $250 per hour. She estimates they will need the bus for 8 hours to allow for transportation and visiting the various exhibits at the museum. The total cost for the charter bus rental comes to $2,000. She adds on a 10% tip for the bus team, bringing the total to $2,200. The principal at Decatur Central High School is arranging a campus tour for prospective 9th grade students and their families. He rents a 20 passenger minibus to shuttle families between the school, the football stadium, performing arts center, and other landmarks around campus. The minibus rental is $225 per hour and he needs it for 4 hours, totaling $900. He tips an additional $90, making the complete cost $990.

Example #2:

A large pharmaceutical company in Indianapolis wants to host an annual sales meeting for 120 sales representatives from around the country. They decide to book a 56-passenger charter bus to provide roundtrip transportation for the attendees staying at various hotels to the conference venue. The charter bus rental is $275 per hour, with a 5 hour minimum. They book the bus for 3 days – from the hotels to the conference in the morning, returning in the evening after dinner and entertainment. That comes out to 10 hours per day for a total of 30 hours. At $275 per hour, the total charter bus rental cost is $8,250. With 3 buses needed to transport 120 passengers, the total quote for their corporate event transportation is $24,750. They add an 18% gratuity of $4,455, bringing their complete transportation budget to $29,205 for the 3 day event. The Indianapolis Colts are preparing for an away game against the Tennessee Titans. The team organizers arrange a charter bus rental to transport the team and coaching staff from their Indianapolis headquarters to the stadium in Nashville. Example #5:

They book the charter bus for 10 hours at a rate of $350 per hour, totaling $3,500. The bus picks up the wedding party from the hotel at 9 AM to transport them to the ceremony venue for photos and preparation. It then shuttles guests from the hotel to the 12 PM ceremony. After the ceremony, the bus takes all guests to the reception venue across town, returning to the hotel at 7 PM.
